What to include on a Rent Receipt

Tips for your Rent Receipt

  1. Always give a receipt for rent paid in cash. Some jurisdictions — New York State, for example — require landlords to provide one, and it is the tenant's only proof of payment.
  2. State the period the payment covers, not only the date it was received, so early, late or partial payments can't be misread later.
  3. Record partial payments with the balance still owing. Accepting partial rent can affect eviction procedures in some places, so check local rules before you do.
  4. Keep security deposits on a separate receipt — they are legally distinct from rent and often subject to their own rules.
  5. Number receipts sequentially and keep copies; landlords need them for reporting rental income and tenants for proving rental history.

Frequently asked questions

Is a landlord required to give a rent receipt?

It depends on where the property is. Some states and countries require a receipt for cash payments or on the tenant's request; elsewhere it is simply good practice. Giving one for every payment protects both landlord and tenant.

Can tenants use rent receipts as proof of rent paid?

Yes. Tenants often need proof of rent for tax credits or benefits where available, mortgage or visa applications, or disputes. A dated receipt showing the property, period and amount is the clearest evidence.

Can I send rent receipts by email?

Generally yes. A PDF receipt sent by email is a convenient record for both sides. Keep your own copy and make sure the receipt identifies the property, tenant, period and amount.
