Tips for your Payment Receipt
- Reference the invoice number so the payer's accounts team can match the receipt to the bill instantly.
- Include the bank or card transaction ID — it settles any "did it arrive?" question without digging through statements.
- For partial payments, show the amount received and the balance still due on that invoice.
- Use a separate number series for receipts (e.g. RCT-2026-0001) so they never clash with invoice numbers.
Frequently asked questions
What is the difference between an invoice and a payment receipt?
An invoice requests payment and has a due date; a payment receipt confirms that money has been received and shows the date and method. You usually send the invoice first and the receipt after payment.
Is a bank statement enough proof of payment?
Often it is, but a receipt is clearer: it names what was paid for and links it to an invoice. Many clients, employers and auditors prefer or require a receipt.
Should I issue a receipt for each partial payment?
Yes. Issue a receipt for each amount received, referencing the invoice and showing the remaining balance, so both sides always agree on what is still owed.
