What to include on your Photographer invoice

Every invoice should make it effortless for the client to understand what they are paying for — and to pay it.

  • Your business name, logo and contact details
  • Client name, company and billing address
  • A unique, sequential invoice number
  • Issue date and payment due date
  • Itemized services or products with quantity, rate and amount
  • Subtotal, any discounts, tax and the total due
  • Payment terms and accepted payment methods
  • Your tax ID or VAT number, if you are registered

Specific to Photographer invoices

  • Shoot date and location
  • Number of edited images delivered
  • Usage license: media, territory and duration

Photographer invoicing tips

  1. Separate your creative fee from usage/licensing: state the media (web, print, ads), territory and duration the client may use the images.
  2. Retainers or non-refundable booking deposits (often 25–50%) protect the date for weddings and events — show them as paid on the final invoice.
  3. Bill travel beyond your included radius per mile or as a flat fee, and list it on its own line.
  4. Itemize prints, albums and other physical products separately; they are often taxed differently from services.
  5. Note when the final gallery or high-resolution files will be released (usually after full payment).

Frequently asked questions

Is this Photographer invoice template free?

Yes. BillKit is free to use with no sign-up. Fill in the template, download it as a PDF and send it to your client. Your data is processed in your browser and never uploaded to our servers.

What should I put on my Photographer invoice?

At minimum: your details, the client's details, a unique invoice number, issue and due dates, itemized services with rates, the total and your payment terms. For Photographer invoices it also helps to include: Shoot date and location, Number of edited images delivered, and Usage license: media, territory and duration.

What payment terms are typical for Photographer invoices?

A common setup is: Non-refundable booking deposit, balance due 14 days before the event. Choose terms that fit the size of the job and your relationship with the client, and always put the exact due date on the invoice.

Should I bill by the hour, per project or per item?

Photographer invoices usually combine fixed fees, time and materials. Put each on its own line — services, hourly labor, materials or pass-through costs — so the client sees exactly what they are paying for.

Can I change the currency, add tax or use my own logo?

Yes. The generator supports 150+ currencies, tax/VAT lines, discounts and your own logo. The sample on this page uses USD only as an example.
