A receipt is a short document that proves a payment happened: who paid, who received the money, how much, when, how and for what. Customers need receipts to claim expenses, prove they paid rent, request refunds or support tax deductions. Sellers need them as a record of cash received. This guide shows exactly what to put on one, with an example you can copy.

Receipt vs. invoice in one sentence
An invoice asks for money; a receipt confirms money was received. If the client hasnât paid yet, you want an invoice â see how to write an invoice. For a fuller comparison, read invoice vs. receipt.
What every receipt should include
| Element | Example | Why it matters |
|---|---|---|
| The word âReceiptâ | RECEIPT | Distinguishes it from an invoice or quote |
| Receipt number | RCT-2026-0105 | Lets both sides refer to it; keeps your records in order |
| Date of payment | 28 October 2026 | Proves when the money changed hands |
| Your name / business name and contact | Lina Park Tutoring, lina@example.com | Identifies who received the money |
| Payerâs name | Daniel Romero | Identifies who paid (optional for anonymous retail sales) |
| What the payment was for | Math tutoring, 4 sessions in October | Links the payment to goods or services |
| Amount paid and currency | $240.00 USD | The core fact of the document |
| Tax included, if any | Sales tax $0.00 / VAT 20% ÂŁ40.00 | Needed if the buyer reclaims or reports tax |
| Payment method | Bank transfer, ref. 88412 | Helps trace the payment |
| Related invoice number | For invoice INV-2026-0311 | Lets the payerâs accountant match documents |
| Balance remaining | $0.00 | Essential for partial payments |
| Signature or name of receiver | Lina Park | Adds authenticity, especially for cash |
You wonât need every line for every situation â a coffee-shop receipt doesnât name the customer â but for services, rent, deposits and private sales, include them all.
Step by step
- Title and number it. Use a separate series from your invoices, e.g.
RCT-2026-0001. See invoice numbering for formats. - Add the payment date â the day you received the money, not the day you wrote the receipt if they differ.
- Add your details and the payerâs details. For business customers, use their companyâs legal name.
- Describe what was paid for. Be specific: âDeposit for kitchen cabinets, order #1043â beats âDepositâ.
- List amounts. Use line items if there were several things, then a total. Show tax separately if you charged it.
- State the payment method and a reference (last four card digits, transfer reference, check number).
- Show the balance: âPaid in fullâ or âBalance remaining: $500.00â.
- Sign or add your name, then send a PDF or hand over a printed copy, and keep your own copy.

Special cases
Partial payments and deposits
Issue a receipt for the amount actually received, reference the invoice or agreement, and show whatâs still owed: âReceived $1,000.00 towards INV-0042 (total $3,000.00). Balance remaining: $2,000.00.â For upfront deposits, see deposit invoices and the deposit receipt template.
Cash payments
Cash leaves no bank trail, so the receipt is the only evidence. Write the amount in figures and words, count the cash in front of the payer, sign the receipt and keep a numbered copy. Our cash receipt template has the right fields.
Rent
Tenants often need rent receipts for benefits, tax credits or applications, and some jurisdictions require landlords to issue them for cash rent. State the property and the rent period covered. See the rent receipt template.
Donations
Charitable receipts follow special tax rules in many countries â for example, US charities must give written acknowledgments for single gifts of $250 or more. Use the donation receipt template and check your local requirements.
Refunds
If you give money back, the correct document is usually a credit note, not a negative receipt.
Can a receipt replace an invoice?
Sometimes, in practice: for a sale paid on the spot, a detailed receipt may be the only document. But if the buyer is a VAT/GST-registered business that wants to reclaim tax, they generally need a document meeting the full (or simplified) invoice requirements of your country. If in doubt, issue an invoice marked âPaidâ and a receipt.
Common mistakes
- No number or date. Makes the receipt hard to find and easy to dispute.
- Vague description. âServicesâ doesnât help anyone file an expense claim.
- Charging or showing tax youâre not registered for.
- No balance line on partial payments. Leads to disagreements later.
- Not keeping a copy. Your own receipts are part of your financial records.
