What to include on a Photography Receipt

  • Your name or business name and contact details
  • The payer's name
  • Date the payment was received
  • What the payment was for
  • Amount paid, currency and any tax included
  • Payment method
  • Balance remaining, if it was a partial payment

Specific to a Photography Receipt

  • Session date, type and location
  • Deliverables (number of edited images, prints, albums)
  • Usage rights or license granted
  • Retainer or deposit already paid
  • Delivery date for final images
  • Amount paid, date and method

Tips for your Photography Receipt

  1. State the usage rights included (personal use, commercial license) — clients often assume they can use images for anything.
  2. If you took a non-refundable retainer, show it as already paid and deduct it from the total.
  3. List extra images, prints and albums separately so clients can see what was optional.
  4. Note the expected delivery date for the final gallery to set expectations.

Frequently asked questions

Should a photography receipt mention copyright?

It is good practice to restate the license granted (e.g. "personal use license") and that copyright remains with the photographer unless your contract says otherwise.

Is a session retainer refundable?

Many photographers make retainers non-refundable because the date is reserved. Whatever your policy, state it in the contract and on the receipt.

Do I charge tax on prints?

Prints and other physical products are often taxable even where services are not. Check your local sales tax or VAT rules.

This template and guidance are general information, not legal or tax advice. Requirements vary by country, state and industry — check local rules for your situation.
