Contractor invoicing tips
- Split labor and materials on separate lines; in many places materials and labor are taxed differently.
- Never do extra work without a signed change order, and list each change order by number on the invoice.
- Collect a deposit to cover materials before starting — check your state or local cap on upfront deposits.
- Use progress billing on larger jobs (e.g. 30% start, 40% rough-in, 30% completion).
- Include your license number and job-site address; many jurisdictions require the license number on invoices and contracts.
- Mention lien rights and lien waivers only as allowed by your local rules — get proper advice for your jurisdiction.
Recommended payment terms
Whatever you choose, agree on the terms before you start, write the exact due date and late-payment policy on the invoice, and send it as soon as the work (or milestone) is delivered.

Frequently asked questions
Is this Contractor invoice template free?
Yes. BillKit is free to use with no sign-up. Fill in the template, download it as a PDF and send it to your client. Your data is processed in your browser and never uploaded to our servers.
What should I put on my Contractor invoice?
At minimum: your details, the client's details, a unique invoice number, issue and due dates, itemized services with rates, the total and your payment terms. For Contractor invoices it also helps to include: Contractor license number, Job-site address, and Change order numbers.
What payment terms are typical for Contractor invoices?
A common setup is: Deposit to start, progress payments, balance on completion. Choose terms that fit the size of the job and your relationship with the client, and always put the exact due date on the invoice.
Should I bill by the hour, per project or per item?
Contractor invoices usually combine fixed fees, time and materials. Put each on its own line — services, hourly labor, materials or pass-through costs — so the client sees exactly what they are paying for.
Can I change the currency, add tax or use my own logo?
Yes. The generator supports 150+ currencies, tax/VAT lines, discounts and your own logo. The sample on this page uses USD only as an example.
